Processing of Data

The “Boulodrome” app is used to organise, manage and conduct pĂ©tanque and boules tournaments.

Depending on the functions used, the following data in particular may be processed:

  • Player names
  • Team names
  • Club names
  • Email addresses when online registration is used
  • Tournament names and tournament data
  • Match pairings
  • Match results
  • Rankings and placements
  • Tournament settings

The data is used exclusively to provide the respective functions of the app and the associated online services.

The data is not processed for advertising, profiling or analytics purposes.

Local Data Storage

Tournament data is generally stored locally on the user’s device.

Locally stored tournament data can be removed by the user using the functions provided in the app or by deleting the corresponding tournament files or app data.

Data is only transferred to a web server when an online function, such as online registration or the live ticker, is used.

Online Registration

Tournament organisers may provide an optional online registration service for their tournaments.

When a person registers for a tournament using the online registration form, the data entered in the form is transferred to the web server used for Boulodrome.

In particular, the following data may be processed:

  • Player name or player names
  • Team name, if provided
  • Club name, if provided
  • Email address
  • Information about the selected tournament
  • Date and time of registration
  • Registration status, such as confirmed or waiting list

The data is processed exclusively for receiving, assigning, confirming and managing the registration and for organising and conducting the respective tournament.

The email address may be used to confirm the registration, clarify questions relating to the registration or provide tournament-related information.

Personal data submitted through online registration is stored in encrypted form on the web server.

Email addresses and other contact details not intended for the public participant list are not displayed in the live ticker or in publicly accessible participant lists.

Player names, team names and club names may, however, be displayed in participant lists, match pairings, result lists and rankings as part of tournament organisation. This applies in particular when the tournament organiser activates the live ticker.

Live Ticker

If the optional “Live Ticker” function is activated, the tournament data required for the public display of the tournament is transferred to a web server and stored there.

This may include the following data in particular:

  • Tournament name
  • Player names
  • Team names
  • Club names
  • Match pairings
  • Match results
  • Rankings and placements

This information may be displayed on a publicly accessible website.

Email addresses, telephone numbers and other contact details are not published through the live ticker.

The live ticker is activated by the respective tournament organiser or user of the app.

The data provided during online registration is processed in order to handle the registration and organise and conduct the selected tournament.

The legal basis is Article 6(1)(b) GDPR, insofar as the processing is necessary in order to take steps prior to entering into a contract or to fulfil the participation relationship associated with the tournament registration.

Insofar as processing is necessary for the proper organisation, documentation and presentation of a tournament, it may also be based on the legitimate interests of the tournament organiser and the provider in conducting and managing the tournament in accordance with Article 6(1)(f) GDPR.

The legitimate interest consists in particular in managing registrations, assigning participants, creating match pairings, recording results and presenting the course of the tournament in a transparent manner.

Where consent is expressly obtained for a particular processing activity, the processing is based on Article 6(1)(a) GDPR. Consent may be withdrawn at any time with effect for the future.

Recipients and Disclosure of Data

The respective tournament organiser receives access to the data entered during online registration insofar as this is necessary for organising and conducting the tournament.

In addition, the provider of Boulodrome may access the data insofar as this is necessary for technical operation, troubleshooting, data security or responding to enquiries.

Hosting providers may be used for the technical operation of the web server. These providers process data exclusively in connection with providing the technical infrastructure and in accordance with the applicable data protection regulations.

Personal data is only disclosed to other third parties where this is permitted or required by law or where the data subject has previously given consent.

Personal data is not sold to third parties.

Personal data is not disclosed for advertising, analytics or marketing purposes.

No advertising networks or services for profiling or analysing user behaviour are used.

Data Security

Appropriate technical and organisational measures are taken to protect personal data against loss, alteration, unauthorised access and unauthorised disclosure.

Personal data submitted through online registration is stored in encrypted form on the web server.

Data transmitted between the device or web browser and the web server is protected by an encrypted HTTPS connection when the online functions are accessed.

Please note that, despite appropriate security measures, no electronic transmission or storage system can guarantee complete protection against all conceivable risks.

Data Retention

Personal data is stored only for as long as necessary for the respective processing purpose or for as long as statutory retention obligations apply.

Data stored in connection with online registration is generally deleted no later than 30 days after the end of the relevant tournament, unless it is still required for processing the tournament, responding to enquiries or complying with legal obligations.

If a registration is withdrawn before the tournament, the associated data may be deleted earlier, provided there are no factual or legal reasons preventing deletion.

Tournament data published via the live ticker is generally deleted automatically no later than 14 days after the last update.

Data stored locally on the user’s device remains there until it is deleted by the user.

Rights of Data Subjects

Persons whose personal data is processed have, subject to the applicable legal requirements, the following rights in particular:

  • The right to obtain information about the personal data stored in accordance with Article 15 GDPR
  • The right to rectification of inaccurate data or completion of incomplete data in accordance with Article 16 GDPR
  • The right to erasure of personal data in accordance with Article 17 GDPR
  • The right to restriction of processing in accordance with Article 18 GDPR
  • The right to data portability in accordance with Article 20 GDPR, where the legal requirements are met
  • The right to object to processing in accordance with Article 21 GDPR where processing is based on legitimate interests
  • The right to withdraw consent with effect for the future

In order to clearly identify a request, information about the relevant tournament, the person’s name and the email address used for registration may be required.

Data subjects also have the right to lodge a complaint with a data protection supervisory authority if they believe that the processing of their personal data infringes data protection law.

Payments

If paid content or functions are offered, payment processing is carried out through Google Play and the payment services provided by Google.

The provider of Boulodrome does not receive users’ full credit card, bank account or other payment details.

Payment data is processed by Google in accordance with Google’s applicable privacy policy.

Changes to this Privacy Policy

This privacy policy may be amended if the functions of the app, the technical systems used or the legal requirements change.
